Who we are

Hiroshi Aki Solutions (SA0549928-M) is a custom software company based in Kuala Lumpur, Malaysia. This policy covers the website hiroshiaki.com and the ways you can contact us from it. It explains what information we receive, why, and what you can ask us to do with it.

Where one of our products collects personal data on behalf of a client, that product carries its own notice, provided within the product or by the client operating it. This policy does not replace those notices.

Information you send us

When you contact us, whether through the form on this site, by email or by WhatsApp, we receive what you choose to send: typically your name, your organisation, your email address and your message. The form on this site does not store anything on a server; it composes an email or WhatsApp message from what you type, which you then send yourself.

We use that information to reply to you, to understand what you are asking us to look at, and, if we go on to work together, to scope and deliver that work. We do not add you to a marketing list unless you ask to be on one.

Information collected automatically

This site sets no analytics or advertising cookies and loads no third-party tracking scripts. Fonts and images are served from our own site rather than from third-party services that could observe your visit.

The server that hosts the site keeps standard access logs: the pages requested, the time of the request, and the IP address and browser of the visitor. These logs are used to keep the site running and secure, and for nothing else.

If we later add analytics to understand how the site is used, this policy will be updated before that happens.

How your information is shared

We do not sell personal information. We share it only with the service providers needed to run the ways you contact us, and where the law requires us to. Those providers are the one that hosts our email and, if you message us on WhatsApp, Meta Platforms as the operator of that service.

If you engage us to build a system, information about you and your organisation is handled under the contract for that work, which sets out its own confidentiality terms.

How long we keep it

We keep correspondence for as long as it is needed to answer your enquiry or to carry out and support work we have agreed to do, and for as long as the law requires us to keep business records. You can ask us to delete correspondence sooner; see your rights below.

Your rights

Under the Personal Data Protection Act 2010 (Malaysia) you may ask us for a copy of the personal data we hold about you, ask us to correct it, ask us to stop using it for a particular purpose, or withdraw a consent you have given. To do any of these, write to the address below. We will respond in writing.

Security

We take reasonable technical and organisational measures to protect the information we hold against loss, misuse and unauthorised access. Because the site itself stores nothing, the information at issue is the correspondence in our email and messaging accounts, which are protected by access controls and kept only as long as described above.

Changes to this policy

When this policy changes, the date at the top changes with it. For a material change, such as introducing analytics or a server-side contact form, we will update this policy before the change takes effect.
